Assist daily operations of a Branch, Representative Office or Liaison Office to ensure the best employee experience in the Workplace. Work ethics uphold compliance with local law on labour, occupational health & safety, legal, etc. Flag updates and conflicts between the Company policies and local law.Key Responsibilities
- Provide administrative support to colleagues in accordance with directions and policies of the Company and local Country Management.
- Collaborate with other functional team within LOs and other sourcing entities on global office related initiatives, ensuring all departments and functional areas work together to achieve adidas' overall objectives.
- Implement aSL & local administration polices and office rules/objectives, makes sure all processes and procedures are up to date. Identify potential problems and offer appropriate solutions.
- Work with fleet service vendor(s) on day-to-day operations. Identify improvement opportunities to upgrade fleet service level while optimizing cost control. Conduct research/analysis on office supplies and service providers (hotels, travel, furniture, office landlords, contractors, etc.) and perform initial negotiation in the best interests of adidas.
- Prepare administrative documents such as draft office Contingency Plan, Official Letter... etc.
- Manage and follow-up office administration/renovation projects.
- Organize company activities such as All-Employee-Meeting (AEM), North Asia Core Leadership Meeting (NA CLG), Partner Summit, SRC events, global initiatives and other activities etc. Assists general ad hoc projects.
- Workplace management includes on site cleaning staff, periodic office cleaning, office & fixtures maintenance etc. Ensure premises at a high standard of decoration and efficiency. Maintain office health & safety.
- Coordinate with designated travel agent in travel booking & visa application process optimization, step in for assistance when needed from colleague both inbound and outbound.
- Car fleet management: Work closely with car fleet companies. Act as car coordinator for office car/shuttle daily operation. Manage and evaluate drivers' performance.
- Ensure company licenses/documents renewal and annual inspection in compliance with China Law.
- Be responsible for stationary requests, courier & customs clearance.
- Flag any breaches of office discipline.
- Collaborate with Information Technology to maintain technology systems' availability.

- 3+ years professional experience in office administration or general affairs at multinational companies.
