Job Summary:The Executive Assistant provides high-level administrative and operational support to Regional President Brenntag Essentials China & Hong Kong, ensuring efficient management of schedules, communications, organizational priorities and strategic initiatives. This role requires excellent organizational skills, discretion, and the ability to manage multiple tasks in a fast-paced and dynamic environment.Key Responsibilities:Executive Support
  • Manage and optimize Regional President’s calendar, including scheduling meetings appointments and travel arrangements.
  • Organize CHK sub-regional meeting, or APAC regional meeting when it happens in China (logistics such as meeting room, hotel booking…etc.), coordinate and prepare meeting agendas, meeting minutes, and timely follow-up on action items.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
Communication & Correspondence
  • Act as the primary point of contact between Regional President and internal/external stakeholders, ensuring timely and effective communication.
  • Screen and prioritize incoming calls, emails, and requests, anticipating needs and addressing issues proactively.
  • Help draft, review, and edit correspondence, reports, and presentations as per required.
Project Coordination
  • Support coordination of key projects (such as Black Belt Projects…etc.) as per required, including tracking the progress and timelines.
  • Conduct research, compile data, and prepare briefing materials for meetings and events as per required.
Travel & Event Management
  • Plan and coordinate complex domestic and international travel arrangements, including flights, accommodations, visas, and detailed itineraries.
  • Lead the end-to-end planning and execution of company events, including concept development, budgeting, vendor coordination, on-site management, and post-event evaluation…etc. delivering high-quality outcomes to meet the standards and requirements.
Administrative Support
  • Prepare, process and track expense reports, reimbursements, and related financial documents for the Regional President with accuracy and timeliness.
  • Provide administrative support to the office, including office supplies management, vendor coordination and handling facility or service requests as per required.
Other ad-hoc tasks as assigned.Qualifications & Requirements:
  • Bachelor’s degree or equivalent professional experience
  • Proven experience (5+ years) as an Executive Assistant, Personal Assistant, or similar role.
  • Excellent written and verbal communication skills in English
  • Strong organizational and time management skills, with the ability to prioritize effectively.
  • High degree of discretion and professionalism.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other tools.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and accuracy, and strong execution
  • Proactive and resourceful problem-solving skills
  • Open-minded, Strong interpersonal skills and cultural sensitivity
  • Ability to manage multiple priorities under pressure
