Position Overview:We are seeking a highly organized and proactive Administrative Assistant for the Jiangsu Provincial Key Laboratory for Smart Diagnosis and Treatment of Lung Cancer (Key Laboratory). This laboratory is a provincial-level lab and is joint constructed between Duke Kunshan University and Kunshan First People's Hospital. This position acts as a vital bridge connecting the university's Medical Physics Graduate Program, the Key Laboratory, and the clinical partners at Kunshan First People's Hospital. The incumbent will not only manage daily administrative and financial operations but will also play a critical role in facilitating cross-institutional communication, organizing high-level academic meetings, and driving student recruitment initiatives. This position is primarily based on the DKU campus but requires regular travel to Kunshan First People's Hospital for meetings and on-site coordination.Reports to:Prof. Fangfang-Yin, Full Professor of Medical Physics; Director for the Medical Physics ProgramEssential Duties:Cross-Institutional Liaison & Communicationl Facilitate Collaboration: Act as the primary point of contact to streamline communication between Duke Kunshan University faculty, Key Laboratory researchers, and clinical staff at Kunshan First People's Hospital.l Meeting Coordination: Organize and coordinate joint committee meetings, academic seminars, and regular project updates between the university and the hospital. This includes agenda setting, minute-taking, and following up on action items to ensure alignment across all parties.l Hospital Operations Support: Assist with the logistical coordination of laboratory activities located within or associated with the First People's Hospital, ensuring university researchers have the necessary administrative support for on-site collaborations.Administrative & Operational Supportl Space & Inventory: Oversee the maintenance and organization of laboratory office spaces; coordinate with IT, facilities, and procurement departments to ensure the timely supply of office and research consumables.Financial Support & Compliancel Reimbursement Processing: Handle expense reports and reimbursements for faculty, staff, and students in strict compliance with DKU and grant-specific financial policies.l Procurement: Assist in the preparation of purchase orders, processing of invoices, and vendor payments.l Budget Tracking: Assist the supervisor in tracking budget usage for laboratory grants and operational funds to ensure fiscal responsibility.Academic Event Planning & Research Supportl Event Logistics: Lead the logistical planning for academic workshops, conferences, and guest lectures (both on-campus and at the hospital), including venue booking, travel arrangements, catering, and promotion.l Project Coordination: Provide administrative support for ongoing research projects and talent programs, assisting in the compilation of materials for interim and final reports.Program Promotion & Student Recruitmentl Recruitment Drive: Actively support the Medical Physics Graduate Program's recruitment season. This includes fielding inquiries from prospective students and coordinating interview logistics.l Marketing Support: Assist in creating and disseminating promotional materials (brochures, social media posts, website updates) to highlight the laboratory's research achievements and attract top-tier student talent.l Work toward achieving assigned annual objectives and KPIs, demonstrating accountability for performance and results.l Perform other duties as assigned.l University employees' job responsibilities will continue to expand in scope and depth as the University grows in size and complexity in its programs.Skills & experienceRequired Qualifications:l Bachelor's degree is required in University Administration, Management, English, Communications, or a related field. Previous working experience is not required.l Excellent written and verbal communication skills in both English and Mandarin.l Strong ability to multi-task and prioritize conflicting deadlines in a fast-paced, cross-cultural environment.l Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable learning new university administrative systems.l A strong team player with high emotional intelligence, capable of working effectively with diverse groups (professors, doctors, students, and administrators).How to Apply: Please be advised the salary is commensurate with experience.
