- Drafts, edits, and coordinates official communications from the Provost and the Provost’s Office, including emails, memos, reports, presentations, briefing materials, speeches, and other communications for internal and external audiences.
- Supports the development and implementation of communications strategies that promote academic initiatives, research activities, and major Provost Office projects and events.
- Partners with University Communications and other relevant offices to create, update, and maintain Provost Office digital platforms and content, including but not limited to the faculty portal, faculty directory, and other faculty-facing or office-managed communication channels, ensuring clarity, consistency, accuracy, and alignment with university priorities.
- Develops and refines outreach and communications materials, including newsletters, website updates, short reports, talking points, event materials, and selected social media or digital content as appropriate.
- Conducts background research, benchmarking, and content development in support of regular and ad hoc communications, reports, and briefing materials.
- Works closely with the Chief of Staff to the Provost and other designated colleagues to support the planning, coordination, and execution of special projects and strategic priorities of the Provost and the Provost’s Office.
- Provides project management and operational support for assigned initiatives, including developing timelines, tracking deliverables, coordinating meetings, documenting key decisions and action items, and supporting implementation.
- Prepares agendas, meeting materials, summaries, and presentation materials for meetings, events, and project-related discussions led by the Provost’s Office.
- Conducts higher education, policy, and peer benchmarking research and synthesizes findings to support internal planning and decision-making.
- Supports the planning and execution of major Provost Office events and special activities, including logistics coordination, stakeholder communication, and post-event follow-up.
- Provides additional administrative and operational support to the Provost’s Office as needed.
- Supports outreach to internal and external stakeholders in order to advance the goals and visibility of Provost Office initiatives, academic priorities, and selected university partnerships.
- Helps identify, coordinate, and maintain relationships with external organizations and partners, including universities, foundations, corporations, and public-sector entities, in support of academic, research, and institutional collaboration.
- Supports the management and coordination of academic partnership-related matters initiated by internal units or individuals, including communication with stakeholders, collection of relevant materials, facilitation of internal review processes, and tracking of progress and follow-up items.
- Works with the Chief of Staff to the Provost and relevant colleagues to help align outreach and partnership activities with institutional academic priorities.
- Prepares background materials, correspondence, summaries, and briefing documents related to stakeholder engagement, partnership discussions, and related follow-up.
- 4 years+ of relevant professional experience in communications, education administration, project management, or a related field.
- Experience in higher-education institutions or academic environments is required. Familiarity with sino-foreign joint venture universities is highly valued.
- Excellent written and verbal communication skills in both English and Chinese, with demonstrated ability to draft, edit, and refine a wide range of professional materials for different audiences.
- Strong organizational and project coordination skills, with the ability to manage multiple assignments simultaneously, follow through on details, and meet deadlines in a fast-paced environment.
- Strong interpersonal skills and the ability to work effectively with colleagues and stakeholders across different offices, functions, and levels of seniority.
- Demonstrated ability to support outreach, stakeholder engagement, and partnership coordination with professionalism, discretion, and sound judgment.
- Strong research and analytical skills with the ability to translate complex information into clear, audience-appropriate materials.
- Experience with website content management, digital communications, newsletters, and related communications tools, especially experience using emerging technologies to improve content development and workflow efficiency, is highly valued.
- Experience supporting events, external engagement, partnership-related processes, or special projects preferred.
- Familiarity with higher education institutions and academic environments, especially with the sino-foreign joint venture universities, is highly preferred.
